Filed Quick Reference — Admin Setup

Purpose: Use this page as an overview reference to confirm your Filed admin setup and understanding.

Workspace Setup
A workspace is your firm’s environment in Filed. It contains your users, settings, workflows, and integrations.
Most firms only need one workspace. Firms with multiple offices, teams, or tax software systems may choose to create additional workspaces to keep configurations separate. Please reach out to your Filed team for this setup.
Managing Users and Access
Admins are responsible for adding and managing access for all teammates.
Team members are added from Settings → Members, where you assign a role that determines their level of access.
Admins can manage users, settings, and Filed products. Users can work in Filed but cannot manage settings or user access.
When a teammate leaves the firm or changes roles, their access should be updated or removed promptly to maintain security and prevent workflow issues.
Assignment and Workflow Configuration
Assignment settings control how work is distributed when returns are imported into Filed.
From Settings → Assignments, admins choose whether returns are automatically assigned to the person who imports them or routed to a specific team member. These settings help ensure work flows to the right people without manual intervention.
Admins can also assign or reassign returns individually or in bulk to balance workloads, especially during peak filing periods.
AI Tax Prep Controls
AI Tax Prep settings allow admins to control how Filed prepares and sends draft returns to tax software.
Admins can require manual review before draft returns are sent or enable automatic sending based on predefined rules. Many firms start with manual review enabled and introduce automation after they are confident in their workflow.
Filed’s AI learns only within your firm’s environment. Client data is not shared across customers and is not used to train external models.
Billing and Notifications
Admins manage billing and credit usage from Settings → Billing, where they can view available credits, manage payment information, or contact sales for additional credits.
Notification settings allow admins to control how and when updates are delivered. Notifications can be sent in-app, by email, or both, depending on preference.
Getting Support
If an error or unexpected behavior occurs, admins should open the in-app chat from the page where the issue appears. This allows Filed to capture the relevant context and investigate the issue more efficiently.
